n8n vs Zapier: which should a UK business use?

The short answer: use Zapier if you want the quickest setup, your workflows are simple and your volume is modest. Use n8n if you want more control, more complex logic, or the option to self-host and keep your data on your own server. And when volume, reliability or cost demands it, custom code beats both.

We use all three, so here's an honest comparison — and how we decide for clients.

The quick comparison

Zapiern8n
SetupFastest — sign up and connect appsQuick on n8n Cloud; more work if self-hosted

Ease of useBuilt for non-technical usersVisual builder, friendlier to technical users
Complex logicPossible, gets awkwardBranching, loops and code steps built in
App integrationsVery large libraryLarge library, plus any API via HTTP
Pricing modelBased on tasks runCloud based on workflow runs; self-host = your server costs

Pricing and plan limits change often, so check both providers' current pricing pages before deciding. The model matters more than today's numbers: Zapier's cost tends to grow with every step that runs, which is worth modelling if your volume is high.

Where Zapier wins

  • Speed to first result. A simple two-step automation can be running in minutes.
  • Non-technical teams. Office staff can build and adjust their own workflows.
  • Breadth of apps. If an app has an integration anywhere, it probably has a Zapier one.

If your needs are "when a form is filled in, add a row and send an email", Zapier is hard to beat.

Where n8n wins

  • Complex workflows. Branches, loops, merging data from several sources and code steps are part of the tool, not workarounds.
  • Hosting and data location. You can self-host n8n on a UK or EU server, so customer data doesn't have to pass through a third-party automation cloud. For some businesses that makes GDPR conversations much simpler.
  • Cost at volume. Because self-hosted runs cost only the server, high-volume workflows can be far cheaper. If you plan to offer n8n-based services to your own customers, read its licence terms first.
  • Any API. If an app has an API, n8n can talk to it, integration or not.

The trade-off: self-hosting means someone has to run, update, back up and monitor the server. That's not free — it's just a different kind of cost.

Reliability: what happens when it breaks

Every automation breaks eventually — a supplier changes a format, an API goes down, a field arrives empty. The question is whether you find out.

Both tools can retry failed steps and alert you. n8n gives you more control: dedicated error workflows, retries per step and full execution history on your own server. With either tool, the rule is the same: failures must alert a person, not quietly lose data.

When custom code beats both

We write custom workflows (typically TypeScript, with a workflow engine such as Temporal) when:

  • Volume is high and per-run pricing starts to hurt.
  • Reliability really matters — orders, payments, compliance — and you need tests, version control and proper monitoring.
  • The logic is the product — complex pricing, matching or scheduling rules that don't fit a visual builder.
  • AI is involved — reading messy emails or PDFs and deciding what to do, with a person checking anything uncertain. That's closer to an AI agent than a Zap.

How we decide for clients

Whatever fits. We start by mapping the process — every step, every system, every exception — and then pick the simplest tool that will run it reliably:

  1. Simple, low volume, non-technical owners: Zapier.
  2. Complex logic, data-location concerns or growing volume: n8n, cloud or self-hosted.
  3. High volume, critical processes or AI in the loop: custom workflows.

Plenty of businesses end up with a mix. We'll explain the trade-off before you pay for anything — including when the answer is "keep your Zaps, they're fine".

FAQ

Can you move our existing Zaps to n8n? Usually, yes — as long as the apps involved have an API, an export or an email channel. We check this on the discovery call before quoting, and we'll tell you if moving isn't worth it.

Is n8n free? The software can be self-hosted, so you pay for the server and the time to run it rather than per run. n8n Cloud is a paid service. Check current pricing and licence terms for your use.

Which is more secure? Both can be run securely. Self-hosted n8n keeps data on infrastructure you control, which is the main difference — but it also makes keeping that server updated your responsibility.

Do I need a developer? Not for simple Zapier workflows. For complex n8n workflows, self-hosting or anything business-critical, it's worth having someone who builds in retries, alerts and logs from day one.

What happens when an automation breaks? Ours are built with retries, error alerts and logs, so a failure notifies a person instead of quietly losing data. Ongoing monitoring is available on a retainer.
